Fees

The Participant's fee includes:

• participation in the opening of the Conference

The fee does not include the cost of additional meals not mentioned, travel and accommodation, which the Participants cover themselves.

 

Registration Terms and Conditions

• All Registration must be completed on the official website.
• Participants are strongly encouraged to register before the early bird to take advantage of the discounted registration fees.
• All registration fees are quoted in Euro (€)
• Payment in any other currency will not be accepted.

 

Payment will be available by Credit card and Bank Transfer

• Credit cards are accepted and can be made through the online services on a secured server.
• Service tax for payment by credit card it will be charged, and it should be paid by the participants in addition to the fees. For security reasons, under no circumstances should credit card details be sent by email.

 

Bank transfer:

• Bank charges must be paid by the participants in addition to the registration fees.
  Please make sure to indicate the Congress name plus the full participant’s name.
• Invoices with an address in the European Union should be provided with a VAT Number. The invoicing address and VAT number can only be set up during the registration process.
• Enter the desired billing address – you can either use your main contact information or use an alternative address (e.g., if your institution is funding your registration).

Proof of Enrollment for Students

• For registration in student categories, the interested party must submit a supporting document that proves his/her current student status (proof of enrollment or declaration of the educational institution).
• The document must be added to your online registration form after you select the student fee category.
• Once your registration process is completed, you will receive an automatic e-mail confirming that your registration process was successfully completed.

 

Certificate of Participation

• Certificates of participation are sent via e-mail to all participants.

 

Cancellation and Refund Policies

• Request for cancellation of the registration should be made to the secretariat via email at lurdes.catalino@abreu.pt
• Please quote your transaction number (ID). Transaction number (ID) will be allocated during the reservation process.

 

Refund Policy

The amount returned to the Participant depends on the date of cancellation and is reduced by the costs incurred by the Organiser:

• Handling fee deduction of €100 for cancellations by July 10, 2025
• No refund for cancellations after July 10, 2025

Participant's absence at the conference is not the basis for refund of the Conference fee.

 

Transfer Policy

• The registration can be replaced by another participant from the same institution, sending your request to lurdes.catalino@abreu.pt until August 01st

 

Privacy Policy

• Any personal data inserted in the registration form will be of sole use to the ECOSS 38.

 

Accompanying Persons

• An accompanying person is a spouse, friend, or adult (18 years old and older) who is not working in a science related occupation or field.
• Accompanying persons may not attend the oral or poster scientific sessions and have access to social moments (lunch and coffee break).
• Payment Confirmation: notifications will be sent to your email address, once your payment is processed successfully. No other confirmation will be provided.

 

Liability Waiver

• The safety and well-being of our attendees is our top priority. The ECOSS 38 organizers are committed to providing a safe environment for the event and will make every reasonable effort to do so.
• However, as an attendee, you must fully understand and knowingly, voluntarily, and irrevocably assume all risks related to entry into, and presence in, at, and around the event venue(s), which may include an increased risk of exposure to communicable diseases. As an attendee, you accept personal responsibility for your voluntary participation in the event and assume all responsibility for claims and potential claims relating to any risks and hazards of attendance.
